 ADMINISTRATIVE PARISH SECRETARY
Job Summary
The Parish Secretary position includes the following major duties:
  • Reception and Telephone
  • Maintain and update all Parish Sacramental Registers
  • Accounting – process invoices, make cheques payable, bank deposits
  • Maintain and update Parish Database
  • Preparation of weekly bulletin
  • Ordering of Supplies for the church
  • Support for Pastor and Staff Other miscellaneous duties


Details of Duties
  • Reception
  • First priority is given to attending to visitors and parishioners that call personally at the office.
  • Second priority is to answer and direct all incoming calls in a friendly and welcoming manner. 
  • Administrative Duties


 Parish Sacramental Registers/Government Marriage Registers
  • Prepare Baptismal Certificates and record in Register
  • Prepare First Communion Certificates , update and maintain Register
  • Prepare Confirmation certificates, update and maintain Register
  • Receive and prepare Government  Marriage Licenses ,Prepare Government Marriage Register update and maintain Parish Marriage Register
  • Record death notices, update and maintain Funeral register


         Other Administrative Duties
             Administer Mass Intention Calendar
             Order Church Supplies
             Weekly bulletin
             Marriage Preparation Material
             Parish database
             Provide administrative support to Pastor
             Provide Administrative support to Parish staff as required


  Accounting Duties  - (Ideally, the parish secretary would be qualified in this area too. However, a separate bookkeeper can be hired as an accountant)

  1. Accounts Receivable, Accounts Payable, General Ledger up to and including Trial Balance.
  2. Bi-Weekly & Monthly Payroll including Year End  T4 and T4 Summary
  3. Monthly  and Year End Financial Statements
  4. Government  remittances: Payroll Deductions, HST, Annual Registered Charity return, Archdiocesan                           Financial Report.
  5. Administer group benefits
  6. Prepare  all Income tax receipts for Parish Donors




             Qualifications:
  1. Must have experience in a parish setting or equivalent. The ability to learn the Archdiocesan software: Parish Tools
  2. Must have experience using Simply Accounting software.
  3. Must be able to obtain a Police Security check.
